IRIS ParentMail is a parent communication and payments system for UK schools. The office sends messages and letters, parents pay for trips, meals and clubs, and families book parents’ evening slots, all through one parent app with email and SMS as backups. ParentMail has been around for many years in UK primary and secondary schools, and it is now part of IRIS Software Group, which sells it alongside its other education products. IRIS says more than 3,000 schools use it.

Who it’s for

ParentMail suits UK schools that want to run messages and money through one system without changing their MIS. A typical buyer is a primary school office manager who handles dinner money, trip payments, breakfast club bookings and the weekly newsletter, and who wants parents to stop handing in cash in envelopes. Secondary schools use it for parents’ evenings and payments too, often next to a separate behaviour or homework tool.

If your school uses Arbor, check its Comms tier first. Arbor’s own parent app covers messaging, payments and parents’ evening booking, and running ParentMail alongside it gives parents two apps to check.

What it does well

The main benefit is that parents get one app for most school admin. They read a message about the Year 4 residential, fill in the consent form, pay the deposit in instalments and book the after-school club without logging into three places. IRIS says schools can send messages that allow replies or broadcast-only messages, to groups or individuals, by app, email or SMS. The SMS fallback matters for the families who never install the app.

Payments are the reason many schools buy it. IRIS lists payment creation, balance tracking and instalments, and its June 2024 release notes added booking and cancelling clubs and meals in the app under IRIS PlusPay. For an office that spends Friday afternoons chasing dinner money debts, a balance view and automatic reminders save real time.

Parents’ evening booking handles face-to-face, virtual and hybrid events. Parents pick slots with each teacher, and the system blocks clashes. IRIS’s release notes describe warnings when staff book on a parent’s behalf, such as a slot already booked for another child.

MIS sync keeps contacts current. IRIS says changes made in the school’s MIS flow into ParentMail, so when a parent updates a mobile number at reception, the next text goes to the new number. IRIS also says ParentMail supports more than 130 languages, and it lists form and survey templates with a writing assistant for permission slips and feedback forms.

Where it falls short

IRIS doesn’t publish prices, so you can’t compare ParentMail with rivals without a round of quotes. Ask how card payments are charged, and who pays the fee, before you move dinner money onto it.

The public documents on security are old. The most detailed data protection statement we found on IRIS’s site dates from March 2018. Ask IRIS for current versions during procurement.

The market has moved toward MIS platforms with their own parent apps. Arbor, Bromcom and others now offer messaging, payments and parents’ evenings inside the MIS. That doesn’t make ParentMail worse, but a school reviewing its MIS should check whether it still needs a separate parent app. Our school app audit is a good way to spot that kind of overlap.

IRIS has moved ParentMail logins to IRIS Identity, a shared login across IRIS products, and its release notes show it raised the minimum password length to 12 characters in 2023. Stronger passwords are good, but any login change brings a wave of “I can’t get in” emails to the office, so warn parents before it reaches them.

Pricing

ParentMail is paid software sold to schools. IRIS does not publish prices and asks schools to request a demo. Pricing is quoted per school, and when we checked in November 2026 no prices appeared on the IRIS product page.

Privacy and data

IRIS’s 2018 data protection statement for ParentMail says the system was hosted in a UK data centre, that data in the database is encrypted, that traffic uses TLS encryption, and that ParentMail was registered for PCI DSS for card payments. It says the school is the data controller, and that personal data about parents and pupils is removed seven days after a school’s account is closed, while transaction records are kept for at least six years as the law requires. The current IRIS product page doesn’t make hosting or certification claims, and one G-Cloud listing for IRIS Parentmail answered “no” to ISO 27001 certification while pointing to IRIS group policies. We found no statement about advertising. Because these documents are dated, confirm hosting and certifications with IRIS before you sign.

Verdict

IRIS ParentMail is a practical way for a UK school to combine parent messages, payments and parents’ evenings in one app without changing its MIS. It is strongest in primary schools where the office handles lots of small payments and bookings. Schools moving to an MIS with a built-in parent app should check whether they still need it, and schools that mainly want behaviour and homework updates may be better served by Class Charts or Satchel One.
