TokApp School is a messaging and payments app for schools, built by TokApp Online SL in Vigo. A school sends notices, surveys and payment requests from a web panel, and families receive them in a free mobile app. Public institutes in Catalonia and Galicia use it, and the vendor says more than 5,000 centres in over 12 countries do.

Who it’s for

TokApp suits Spanish schools that want official school-to-family messaging and a way to collect money for trips, materials and after-school activities, without buying a full management platform. A secondary institute that sends a letter about a trip to Toledo and then chases 120 families for payment is the classic case. TokApp also sells versions for nursery schools and for AMPAs, which often run the extracurricular programme and collect the fees.

If your school already runs a management system with its own family app, check whether you need a second channel at all. Our parent communication rankings list the alternatives.

What it does well

The messaging covers what a school office needs. Staff send a message to one family, a class or the whole school, attach files and photos, and see who has read it. Teachers reach families without giving out a personal phone number, which is why many staffrooms leave WhatsApp. TokApp says every message has the same legal validity as a burofax, which matters when a head teacher needs proof that a family received a disciplinary notice. Ask how it backs that claim before relying on it in a dispute.

Payments are the strongest reason to pick TokApp over a plain messaging app. The school sends a payment request, families pay in the app by Bizum or card, and teachers get a list of who has and hasn’t paid. Educación 3.0 reported that the app does not store card details. For the teacher who used to collect envelopes of cash for a museum visit, this saves hours each term.

TokApp Activities handles extracurricular sign-ups. Families enrol their child in the app, and the school takes attendance for each session, tracks receipts and records which adults may collect a child. It covers after-school clubs, the canteen and early morning care, so the paper “aula matinal” sign-up sheet can go.

The tutoring module lets families request a meeting with a teacher, who accepts based on their availability. Families can also justify absences and report urgent problems to the school anonymously.

The app now translates messages automatically into the family’s preferred language and can read messages aloud, which helps families new to Spanish or Catalan and parents who struggle to read. The iOS app comes in Spanish, Catalan, Galician, Basque, English, French, Italian and Portuguese.

Where it falls short

TokApp is a communication tool, not a school management system. It does not hold grades, timetables or student records. TokApp says it can connect to any management software through its API and that its own team builds the integration, so treat each connection as a small project and ask what it costs and who maintains it.

The school decides whether families can reply. With replies off, families can only read. With replies on, teachers may get messages at 10 at night. Agree the rules before launch. Our article on a parent communication policy covers what to put in writing.

The website gives few details on setup or importing families, so test the September enrolment process in a demo account.

Pricing

TokApp does not publish prices. The app is free for families, and schools request a demo and a quote. Ask whether payment processing carries a commission per transaction, whether Activities and a custom-branded app cost extra, and whether the quote changes with the number of students.

Privacy and data

TokApp’s privacy policy names TokApp Online SL as data processor for the data schools enter, which means the school stays the controller and should sign a processing agreement. The policy cites the GDPR and Spain’s LOPDGDD, and the site shows an ISO 9001 quality certificate and a Confialis data protection seal. It does not mention ENS certification, which some regional education departments ask for.

The policy names Amazon Web Services and Cloudflare as platforms and says data may be transferred to the United States and other countries through providers such as Google, Mailchimp and AWS, under standard contractual clauses or adequacy decisions. It does not state where the main servers are. The Toki chatbot runs on an OpenAI model, and the policy says questions website visitors ask Toki may be used to train it. App users’ data is kept for five years after TokApp detects inactivity unless someone asks for deletion. The policy says nothing specific about children’s data, advertising or age limits, so cover these in your contract. Our student data privacy checklist lists the questions to ask.

Verdict

TokApp School is a sound choice for Spanish schools and AMPAs that want official messaging and in-app payments in one place. Read the privacy policy closely and agree a processing contract that covers US transfers and the AI chatbot. Schools that already have a family app inside their management platform, or that need grades and attendance in the same system, should look at that platform first.
