Brightwheel is a management and family communication app for early childhood programs in the US. Teachers check children in and out, log naps and meals, share photos and message families. Directors send invoices, take tuition payments, track staff ratios and manage waitlists. Families get one app for daily updates, messages and paying the bill. It is aimed at preschools, childcare centers, in-home childcare providers, camps and afterschool programs, not K-12 schools.

Who it’s for

Brightwheel suits US childcare centers and preschools that want to replace paper sign-in sheets, daily report slips and a separate billing system. A director of a 60-child center can see who is in each room, whether ratios are met, which families are behind on tuition, and what each classroom posted today, all from one dashboard. Brightwheel also sells to multi-site operators, Montessori schools and new centers.

Very small home providers can start on the free version. Some states pay for premium access for licensed providers, which takes cost out of the decision in those states.

K-12 schools should look elsewhere. An elementary school wanting class updates and conference sign-ups is better served by ClassDojo or Bloomz, and a district needs something like ParentSquare.

What it does well

Daily updates are the part families notice. A toddler teacher logs a nap, a diaper change and lunch on a tablet, adds a photo from the sensory table, and the parent sees it during their lunch break. Parents who used to get a crumpled daily sheet at pickup now see the day as it happens.

Billing is where directors save the most time. Brightwheel handles invoices, autopay, tuition plans, deposits, subsidy tracking and tax statements. Families pay from the same app they use to see photos, so nobody has to find a paper invoice or write a check at pickup.

Check-in and attendance replace paper. Parents or staff check children in on the app, digital signatures are recorded, and ratio tracking shows when a room is over its limit. When a licensing inspector asks for attendance records, the director can pull a report instead of digging through binders.

Learning tools cover lesson plans, observations, assessments tied to state standards and Brightwheel’s Experience Curriculum. The operations side adds staff scheduling, time tracking, payroll, CACFP menu tracking and custom forms, so a center can drop several other subscriptions. Brightwheel also lists an AI assistant among its tools.

Where it falls short

Brightwheel doesn’t publish its paid prices. The pricing page asks for your role, center size and number of locations before it shows anything, so you can’t compare costs without handing over your contact details. Card and bank payments also carry processing fees.

The free version is narrow. Brightwheel’s own blog lists basic messaging with photos but no video, simple check-in, invoicing with processing fees, limited reporting, one staff member and fewer than 20 students. That suits a single home provider and almost nobody else. Video, newsletters, SMS alerts, lesson planning, staff messaging and phone support all need premium.

An all-in-one system is hard to leave. Once your billing history, enrollment forms, attendance records and family contacts all sit in brightwheel, moving to another product is a real project. Ask how you would export everything before you sign, a point our total cost of school software guide covers.

Pricing

Brightwheel has a free basic version for programs with one staff member and fewer than 20 children. Its premium plan is quoted per program after you fill in a form, and multi-site organizations get custom pricing. Card and bank payments carry processing fees. Brightwheel’s blog, last updated in July 2026, lists state partnerships that give licensed providers premium access for free, including Kentucky through September 2027, Iowa through June 2027 and a limited Texas program for family childcare providers. Check your state’s eligibility on brightwheel’s site.

Privacy and data

Brightwheel’s security page says data is stored on Amazon Web Services, that its security controls are TX-RAMP certified, that payment processing is PCI Level 1 and that no confidential banking information is stored on brightwheel. It offers two-factor authentication. The page quotes its privacy policy as saying no personal information can be sold to third parties. That privacy policy, last updated April 2024, covers website and app visitors and allows personalized and targeted advertising using cookies and advertising partners. It says information about children is customer data governed by each program’s contract, and it doesn’t mention COPPA or FERPA. Ask brightwheel for the data processing terms that cover children’s records, and check how its AI assistant uses that data. Our student data privacy checklist lists the questions.

Verdict

Brightwheel is one of the most complete apps for running a US childcare center, and families like the daily photos and easy payments. It pays off when one system replaces several, especially if your state covers the premium cost. Small home providers outside partner states may find the free version too limited, and K-12 schools should choose a school messaging tool instead.
