Veracross is a school management system for private and independent K-12 schools. Elliott Breuer started it in 2002 to run a new K-8 independent school near Boston, and it has grown into a full platform with offices in Wakefield, Massachusetts, the Gold Coast in Australia and London. Its idea is “one person, one record”. A family’s admissions enquiry, a child’s grades and attendance, the tuition invoices and a parent’s donations to the annual fund are all linked to the same person in the same database.
Who it’s for
Veracross fits independent schools where several offices deal with the same families. At a typical day school, the admissions office, the registrar, the business office and the development office each keep their own version of a family’s details. When a parent changes their email address, it gets updated in one place and the others keep sending to the old one. Veracross removes that problem by giving every office the same record.
It suits schools with a business manager or IT lead who can own the system and decide which office sees what.
It is not aimed at state schools or US public districts, which need state reporting and census tools that Veracross is not built around. UK independent schools should also compare iSAMS, which focuses on the same sector.
What it does well
The single record pays off in daily work. A class teacher looking at a student can see health notes and behavior records on the same page as grades. The business office can check whether a family is up to date with tuition before re-enrollment contracts go out. The development office can see that a donor’s youngest child has just been admitted, without asking admissions to send a list.
Academics and student life cover what you would expect from an SIS. Teachers keep a gradebook with their own weighting, take attendance and write report cards and progress reports. Veracross includes learning management tools, so teachers can post homework, plan lessons and build class pages without a separate LMS. There are tools for scheduling, extracurricular sign-ups and sports team schedules, extended care, transport and student health. Veracross also offers Epraise, a platform for recognizing and rewarding good behavior.
Admissions and enrollment run in the same system. Families make an enquiry, apply through online forms, sign enrollment contracts and re-enroll each year, with financial aid processing and a link to tuition billing. For the business office, that means no re-keying when a family moves from applicant to enrolled.
Portals give parents, students and teachers their own views of schedules, assignments, progress reports and behavior notes, and schools can rearrange the portal layout with drag-and-drop. Veracross lists over 200 integrations through its open API, including Canvas and Google Classroom for schools that want a full LMS alongside it.
Where it falls short
The move is big. A school coming from separate admissions, billing and fundraising systems has to clean and merge years of data, and staff in every office have to change how they work at the same time. Because every office shares the record, moving one office at a time is hard, so plan for a long lead time.
Veracross describes the platform as fully browser-based, and its site does not mention a native mobile app. Parents can use the portals on a phone browser, but a school used to push notifications from an app should check how Veracross handles alerts on phones before signing.
The reporting tools are changing. Veracross has shown VC Studio, an AI reporting tool, with an early alert dashboard that ranks students by grades, attendance and missing work. Its page describes the tool as preparing to launch and does not say whether it costs extra, so treat it as a future option, not a reason to buy today.
Pricing
Veracross does not publish prices. Schools request a demo and get a quote. Ask which solutions the quote includes, because admissions, accounting, tuition management, development and the website are listed as separate areas, and ask about implementation, data migration and training costs in the first year.
Privacy and data
Veracross’s product privacy policy says student records belong to and are controlled by the school, that it does not sell student personal information, and that it does not advertise or market to students or their parents. It says it may use de-identified aggregate data for product improvement, research and marketing of Veracross itself. Data is encrypted at rest and in transit, and Veracross lists its sub-processors on its Trust Center.
The policy says personal information for product users is stored with third-party processors in the United States. For UK and EU users it relies on data processing agreements and the EU-U.S. Data Privacy Framework, under which it is certified. UK and Australian schools should check that this meets their own rules. Our student data privacy checklist lists the questions to ask.
Verdict
Veracross is a strong choice for independent schools that want admissions, academics, billing and fundraising on one record per family, and have the staff to run a whole-school system. Check how phone alerts work and where your data will be stored. Schools that only need a classroom-facing SIS, or that must keep data in the UK or Australia, should compare iSAMS and other systems on our student information rankings, and ask each vendor where it stores data.
